How we get this information

Most of the personal information that we collect is provided to us directly by you for one of the following reasons:

  • When you enquire about our services so that we can follow up on your query
  • When you register to use any of our PASS apps so we can create a user account for you
  • To enter into a contract with us

Why we collect this information

We collect this information to create your user account to allow you to use the PASS apps. We also use this information for the ongoing management of your account, for example to identify you when you contact us in relation to use of our services or require product support. Thereafter we use your information to provide relevant user information such as software upgrade notifications.

We may also use your information your information to market relevant products that we think are relevant to you based on the information you have provided. You can choose not to receive such information from us at any time.

Under the General Data Protection Regulations, the lawful bases we rely on for processing that information is a) To fulfil our contractual obligation and b) in pursuit of our legitimate interests.

Who we share this information with?

We do not share your information with any third- party organisations for the purposes of direct marketing. When we use third party processors to provide elements of our service, we have contracts in place that means they cannot do anything with your personal information unless we instructed by us. Any third-party processors that we use will not share your information with any other organisation apart from us and we will impose that they keep your information securely.


In some cases, we are obliged to share information. For example, under a court order or regulatory bodies, and other authorities to further their, or our objectives. If we need to share information, we will always share only what is necessary we will ensure that we have a lawful basis for sharing information.

How long we keep this information

Whilst we have your information, it is stored within the UK. We will keep your information for a defined period as shown below:

App users – 2 years from cessation of use

Business account – 6 years from contract termination.

Thereafter information will be deleted.

How can I access the information you hold about me?

You can access the information we hold about you by contacting our Data Protection Officer using their contact details above via email or post. Under the General Data Protection Regulations, you have the following rights:


Your right of access – You have the right to ask us for copies of your personal information.


Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.


Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.


Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.


Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.


Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.


You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you
